Employees who voluntarily separate from employment are considered to have resigned their University employment. Requirements for the amount of notice may vary, depending on the personnel program.

Process:
- Employee provides formal written resignation to the Supervisor (either via letter or email).
- Case is initiated by Supervisor in AggieService
- See UCDH AggieService Termination Job Aid for step by step instructions.
- AggieService case is routed to designated approver for sign-off.
- Separation is processed by Records Unit and submitted to UCPath for processing.
- Coordinate submission of final timesheet in Ecotime Final timesheet should be completed and approved.
- Final pay includes the last applicable wage and payment of Vacation/ PTO, comp time and holiday accrual balances. Accrual balances will be paid pursuant to university policy and applicable laws. Further information regarding the payment of wages upon termination.
- Final pay will be distributed based on employee’s current election (direct deposit or mail to home).
Additional Items:
- Review system access that may need to be revoked or adjusted (if transferring).
- Submit IT ticket via ServiceNow
- Coordinate collection of ID badge, equipment, keys and any additional UC property prior to employee’s final departure.
