Creating a Job Opening

The information below will help you create a new job opening for a position at UC Davis Health, and go over each department responsibilities in the recruitment workflow.


  1. The department’s designated contact for the Health Vacancy Management Program should submit a completed Health Vacancy Request Form and Organizational Chart to the Health Vacancy Management Program (VMP) Coordinator for requested vacancies.
    Note: the Vacancy Management Program review takes ___ days/weeks.

  2. The CAO/HRBP should obtain an approved Health Vacancy Request Form before submitting a recruitment request into AggieService.  Attach the approved form with the recruitment request.

  3. Department approver needs to approve the AggieService ticket.

  4. Compensation reviews the AggieService request.

  5. Compensation creates TAM job opening, then closes AggieService case.
    Note: Will you get a notification that this has happened?

  6. Hiring Manager’s Supervisor or designate will need to approve the job opening in TAM, the UCPath Talent Acquisition Management module.

  7. Recruiter from Talent Acquisition posts position.

  8. Recruiter screens applications and emails the potential candidates to manager.

  9. Department conducts interviews
  10. Recruitment requests candidate references.

  11. Department completes Interview Evaluations in TAM.

  12. Recruiter makes an offer to the selected candidate.

  13. Shared Services onboards the new employee.
    • Internal hires – minimum 3 weeks, start of pay period.
    • External hires – minimum 4 weeks.
    • Nurse Recruitment – minimum 3 weeks.
      Note: The onboarding process involves background check clearance, Employee Health clearance, potential drug screens and the completion of all necessary employment paperwork.
